Reporting Line: The position reports directly to the AVP for 21st Century Learning Innovation and Faculty Development
Position Description Summary:
The Project Coordinator works closely with the CTL team members to help organize ongoing projects and deliver major organizational projects efficiently. This task involves monitoring project plans, communication, schedules, timelines, budgets, and expenditures; organizing and participating in stakeholder meetings; and ensuring that project deadlines are met on time. The Project Coordinator manages administrative tasks, including document and information distribution, report collation, and communication support.One of the purposes of this position is to assist the CTL team in maintaining an up-to-date workflow management, including a variety of administrative duties.
Main Responsibilities:
•Maintaining and monitoring project plans, communication, project schedules and timelines, budgets, and expenditures.
•Participating in project design meetings and proposing improvements as needed.
• Assisting in launching and developing projects.
• Coordinating with faculty and partners to identify and define project requirements, scope, and objectives.
• Coordinating staff and internal resources and keeping the management workflow on track.
• Providing information and regular support to stakeholders.
• Evaluating potential problems and technical hitches and developing solutions.
• Adhering to the budget by monitoring expenses and implementing cost-saving measures.
• Providing administrative support as needed.
• Managing project-related records by ensuring all necessary materials are current, properly filed, and stored.
• Processing and follow-up of the projects’ budgets.
• Directing project correspondence by preparing and reviewing project proposals, memos, meeting minutes, and emails.
• Keeping records and ensuring follow-up on important actions and decisions from meetings.
• Organizing and maintaining compliance, license, and warranty information related to CTL facilities.
• Coordinating with AUI’s different departments and services to ensure adequate and timely flow of information and follow-up.
• Supporting the integration of AI tools and practices in teaching and learning by collaborating with faculty to identify needs, assist with implementation, organize training sessions, and monitor the progress and impact of AI initiatives in educational projects
Qualifications
Required: Master’s degree or equivalent, with at least 2 years of experience in a similar position
Preferred: Experience in professional development and online course development
